About the Role
WellAware Holdings, Inc. (“WellAware”), an artificial intelligence (“AI”) enabled automation company dedicated to transforming the way companies monitor, control, and optimize remote assets, is seeking an experienced Accounting Analyst to join our accounting team. This role owns core general ledger accounting functions including customer invoicing, collections, month-end close, and account reconciliations, with real opportunity to help shape and improve our systems and processes as we continue to scale.
This is a great fit for someone who enjoys the details of accounting work but also wants a seat at the table for process improvement — someone looking to build a long-term career with a growing company, not their next short-term stop.
Role Responsibilities
Accounts Receivable & Billing
- Create customer invoices in NetSuite, including subscription billing, service invoices, RMAs, spares, shipping, and monthly recurring billing
- Distribute invoices via email or through customer billing portals/systems
- Maintain and update the Master Subscription Billing File
- Log newly executed sales orders on the Sales and Ops Dashboard, update ARR backlog, and archive signed sales orders to the Accounting SharePoint
Collections & Cash Management
- Manage collection of outstanding invoices and follow up on past-due accounts
- Prepare weekly cash forecasts
Month-End Close & Reconciliations
- Perform account reconciliations for Cash, Accounts Receivable, Inventory, Prepaid Expenses, Fixed Assets, and Intangible Assets
- Support other month-end close activities as needed
Inventory & Reporting
- Enter Inventory Pull Forms (IPFs) into NetSuite
Process Improvement
- Identify opportunities to improve billing, collections, and reconciliation processes
- Partner with the other departments on process and system enhancements, including ongoing NetSuite initiatives
Qualifications
- Candidates seeking a long-term role with a growing company — this is not a short-term or transitional position
- Strong attention to detail and comfort managing multiple recurring processes and deadlines
- 5–10 years of relevant accounting experience
- Accounting/Finance/Business degree preferred
- NetSuite experience preferred, not required
- Experience and desire to utilize AI including LLM's such as Claude or Chatgpt in daily activities
- A collaborative, process-improvement mindset
- Ability to work in-office 5 days a week
